Use a document register

Create a row for every item on the official checklist. Include the document owner, issuing authority, issue date, maximum accepted age, required certification, translation, upload format and appointment where the original is needed. Mark the source of the requirement beside the row. This separates an item requested by the authority from something a commercial agent merely recommends.

Keep a folder for each applicant and a separate folder for shared evidence. Names, passport numbers and dates should agree across forms and certificates. Resolve a name change with the appropriate evidence before paying for translations. Save clear color scans, but confirm whether originals or certified copies are also required.

Understand the paperwork chain

An apostille or authentication concerns a document’s official signature or seal. It is a separate step from translating its contents. The correct process depends on the issuing authority and destination. For a US federal document, follow the State Department route; for a state issued document, consult the issuing state’s authentication authority. Ask the receiving authority about the required order.

Before requesting a background check, confirm whether the route requires a federal, state or other certificate, which countries of prior residence are covered and how recent each record must be. A certificate which arrives quickly is not useful if it is the wrong type. Avoid notarizing an original federal document without the issuing authority’s instructions.

Work backward from the appointment

Reserve time for certificate delivery, certification, translation, corrections, appointments and a delayed decision. Some documents have validity windows, so ordering everything on the first day is not always the best sequence. Ask which documents expire, which remain usable, and when their age is measured.

Keep application references, receipts and a submission copy. Read messages from the authority for additional evidence requests and response deadlines. An application receipt is not automatically permission to work, remain beyond a visitor deadline or travel abroad during processing. Confirm each issue for your exact route.
