01Build three totals
Start with one time costs. Include applications for every family member, document ordering and certification, translations, appointments, flights, checked bags, temporary housing, deposits, utility setup, work equipment, pet transport and professional advice. A refundable deposit still ties up cash and belongs in the arrival total.
Next list recurring costs. Include rent, utilities, internet, mobile service, groceries, transport, insurance, healthcare paid out of pocket, schooling or childcare, coworking, subscriptions, debt payments and costs kept in the United States. Divide annual expenses by twelve so a yearly policy or membership does not disappear from the monthly plan.
02Use quotes for your situation

Ask whether utilities, cleaning, agency fees, taxes and deposits are included. A short holiday rental and a year lease are different products. Record the quote date and currency next to the amount.
Build the healthcare line from an actual policy quote for the people traveling. Do the same for schools, childcare and pet travel. A headline cost of living estimate rarely matches an entire household. The budget tool on each country guide adds your figures; it does not supply market prices or determine visa income eligibility.
03Test the plan under pressure
Add a reserve you would keep available if you needed temporary accommodation or a return flight. Then compare the plan with a higher exchange cost, one month without work, or an overlap between two leases. These are planning scenarios, not forecasts. Decide which expense you would reduce first and which amount you would keep untouched.
Keep the visa’s financial requirement in a separate column. Some routes evaluate gross income, some net income, savings, averages or a prescribed reference amount. Your spending budget is not a substitute for the authority’s financial test. Track the official definition and the supporting evidence as well as the headline number.
